About the SMS Tool

Welcome to the SMS tool!

Here's a few words about everything you can do from the activity page, some useful information about the general features of the page as well as detailed descriptions on how to perform specific actions in each tab. Scroll down in this article to read more, or refer to the left navigation to jump to a specific section of this article.

Search Bar

Looking for something?

Type in this bar to Search and find specific items within the tool. To search the entire platform, try global search.

 


 

Create a New SMS

If you want to go straight into action, click Create a New SMS.

SMS Credits

The button on the right will show how many credits you have at the moment in your account.

How to buy more APSIS One SMS credits 

To buy more credits, first click the Buy More Credits button, and then click Order more credits. The link will open your email client with an email template ready for you to fill out.

Please complete and send the email to refill your APSIS One SMS credits.

Display Options

There's a couple ways to view your activity page:

 

Page View 

List View

List View

The list will have some useful Columns for you to get organised. These will depend on which tab you're in.

Click on a column to sort according to:

 Name: The name you chose for your SMS campaign.

 Section: The section you created your SMS campaign in.

 Status: Whether your SMS is a draft, is in the process of sending and cannot be edited, or has already been sent. A queued SMS is waiting to be sent, perhaps due to another bulk of SMS messages being sent at the moment. There's a status called not sent, which corresponds with the case of an SMS not being sent to any profiles. This can be caused, for example, by a segmentation preference that is too narrow. Read more about working with segments.... A failed status, on the other hand, refers to technical errors that prevented the SMS from being sent.

 Profiles: The number of profiles the SMS was sent to. A profile may contain more than one phone number.

 Date Sent: The date the SMS was sent.

 Delivered: How many SMS messages reached a recipient.

 Delivery rate: A metric that reflects the delivery stats of a SMS campaign. It's the result of comparing the number of SMS messages sent versus the number of SMS messages delivered or received.

List Filters

Use list filters to decide what activities you wish to display.

To open filters, click on the filters button on the top left corner of the list in the activity page.

Click on the filtering options to filter your list.

To display all the activities without any filters, click Clear Filters.

Activity Page Tabs

As with other activity pages, you can quickly navigate between your Drafts and your Scheduled & Sent items. Access each section by pressing their corresponding tab in the Activity page.

Drafts tab

This is the tab that opens by default when you enter the SMS tool. Under Drafts you'll find all the SMS you previously started but haven't sent yet. Easily get back on track by taking a look at this section and choosing a campaign to continue.

1. Click on the activity you wish to rename.

2. On the Bottom bar, click Rename.

3. Edit the activity's name directly on the Bottom bar.

4. When done, click Save.

If you wish to discard the changes, click Cancel.

Editing an SMS Draft

How to Edit an SMS Draft

To edit, double click the SMS draft you wish to edit.

You will be taken back to the conversation wizard, from where you can edit the SMS.

Cloning an SMS Draft

How to Clone an SMS Draft

1. Click on the SMS draft you wish to copy.

2. On the Bottom bar, click Clone.

3. Your SMS activity will be cloned as a draft, and "(clone)" added to the name.

 

Saving an SMS as Draft

How to Save an SMS as a Draft

Any SMS activity that has been started but not sent will be saved as a draft, and all changes will be saved automatically.

In the Overview step, there is a specific option to Send the SMS or Save it as a draft.

How to Send an SMS Draft

1. Double-click the SMS draft you wish to send.

2. Complete all the steps until you reach Overview.

3. Double-check that all the settings are correct in the Overview.

  Before you Proceed

Make sure that you have chosen all the correct preferences for the sending of your SMS. Once you click Send, this action cannot be undone and the SMS cannot be edited or deleted. If you're not sure you want to send it, save it as a draft and come back later.

 

4. Did you double-check everything and feel like you're ready to send it?   Click Send.

Otherwise, click Save as draft.

Deleting an SMS Draft

How to Delete an SMS Draft

1. Click on the SMS you wish to delete. You can also select a group of SMS to delete by clicking on one of the SMS, holding the Shift key and clicking on the last SMS you want to delete.

2. On the Bottom bar, click Delete.

3. Are you sure? If yes, click Delete. Otherwise, click Cancel.

 

 

Scheduled & Sent tab

In the Scheduled & Sent tab you can see how many profiles you sent the SMS to, as well as the sent and delivered rates. The SMS that are in the process of sending will appear with a Sending status, and change to Sent once sent.

Pausing an SMS

How to Pause a Scheduled SMS

1. Click on the SMS that you would like to pause.

2. On the bottom bar, click Pause.

Are you sure you want to pause it? Then click Continue. Otherwise, Cancel.

Your SMS will be paused.

 

Editing a Scheduled SMS

1. Click on the SMS that you would like to edit.

2. To edit an SMS, it must be paused.

In the Bottom bar, click Pause.

3. On the Bottom bar, click Edit.

4. The Conversation Wizard will open. Time to make your changes! Click through the steps on the left to jump to a certain step.

5. That's it! You can activate your SMS again by clicking Activate in the Overview step, or from the Scheduled & Sent tab.

If you don't wish to schedule your SMS, go back to your other tasks. All changes are saved automatically.

 

Activating a Paused SMS

How to Activate a Paused SMS

1. Click on the paused SMS you wish to activate.

2. On the bottom bar, click Activate.

3. If your SMS's original sending time has not passed, you will need to confirm that you wish to send it then.

Click Yes to keep the original time, or Reschedule to go back to the conversation wizard and choose a new date and time. Did you choose to keep the original time? In that case, your SMS status will become Scheduled. All done!

If your SMS's original sending time has passed, you must choose a new date and time. Click Reschedule to reschedule your SMS. If you don't want to reschedule it, then click Cancel.

 

3. If you chose to reschedule your SMS, the conversation wizard will open and you will find yourself in the Schedule step.

4. Choose a new time and date for your SMS, then click Next.

5. In the Overview step, make sure everything looks right. When you're ready, click Schedule.

SMS Overview

How to Open the SMS Overview

1. Click on an SMS activity.

2. On the Bottom bar, click Overview.

3. The Overview step from the Conversation Wizard will open up. This will allow you to revise the details of your activity for future reference.

 

Cloning an SMS

1. Click on the SMS you wish to copy.

SMS Reports

How to Open the SMS Reports

1. Click on the Sent SMS you wish to see the report for. Consider that reports are available directly after the SMS has been sent, but actual figures take time to come in.

2. On the Bottom bar, click Report.

3. There's the SMS report! These are only available for sent SMS. Reports are updated automatically, so refresh the page to see the most recent statistics.

Deleted Tab

Here's where your deleted SMS activites go.

If you ever delete an SMS by accident, you'll be safe--everything stays here unless you delete it from here.

All deleted SMS will appear on the list, labeled with the status that they were on before they were deleted, except scheduled SMS. Deleting a scheduled SMS will also pause it. If restored, it will return to the Scheduled & Sent tab as paused.

Restoring an SMS

How to Restore an SMS

1. Click on the SMS activity or a group of activities by clicking on one of them, holding the Shift key and clicking on the last SMS activity you want to restore.

2. On the Bottom bar, click Restore. The SMS will go back to the tab it was in before it was deleted; if it had been on a scheduled status, it will be restored as paused.

The Bottom bar

Clicking on an activity will bring up the Bottom bar.

There you will see activity options like edit, delete, restore, etc. These will also depend on the tab you're in.
