About the Email Tool

Welcome to the Email Tool!

Here are a few words about everything you can do from the activity page, some useful information about the general features of the page as well as detailed descriptions on how to perform specific actions in each tab. Scroll down in this article to read more, or refer to the left navigation to jump to a specific section of this article.

Search Bar

Looking for something?

Type in this bar to Search and find specific items within the tab you're in. To read more about tabs, scroll down to Activity Page Tabs.

To search in the entire platform, try global search.

 


 

Create a New Email

Want to get straight into business? Click Create a New Email.

Display Options

There's a couple ways to view your activity page:

 

Page View

List View

In the list view, your activities are displayed in a list. It is the default view when you enter the tool.

Reorganise your activity list by clicking on the different columns, where you'll find all the essential information about your Email campaigns.

 Name: This is the working name you chose for your Email campaign.

 Subscribers: This number reflects the amount of addresses the Email was sent to.

 Open Rate: The rate at which a certain Email has been opened by the recipients.

 Click Rate: This is a metric that reflects how many recipients that opened the Email actually clicked a link in the Email.

 Scheduled/Sent: The date the Email was scheduled to send, or the date it was sent. Paused Emails will show date scheduled.

 Last Edited: The date the Email draft was last edited.

 Status: Whether this is a draft, scheduled or sent Email.

There's a status called Not sent, which corresponds with the case of an email not being sent to any profiles. This can be caused, for example, by a segmentation preference that is too narrow. Click Overview in the Bottom bar to see your settings. Read more about working with segments....

 Created: The date the Email, template or asset was created.

 Deleted: The date the Email, template or asset was deleted.

 Type: Whether this is an Email, asset or template activity.

 Time: Hover over a date to see the exact time an activity was last edited, created, scheduled, etc.

Card View

Toggle the card view on or off by clicking on the card view button on the right of the list.

To return to the list view, click the list view button on the right.

List Filters

Use list filters to decide what activities you wish to display.

To open filters, click on the filters button on the top left corner of the list in the activity page.

Click on the filtering options to filter your list.

To display all the activities without any filters, click Clear Filters.

Activity Page Tabs

As with other activity pages, you can quickly navigate to and from your Drafts, Scheduled & Sent, Templates and Deleted items. Access each section by pressing its corresponding tab in the Activity page.

Scroll down in this article to read about all the tabs, or click on a specific tab in the left side navigation to jump there.

 

Drafts Tab

This is the tab that opens by default when you enter the Email tool. Under Drafts you'll find all the Emails you previously started but haven't sent yet. Easily get back on track by taking a look at this section and choosing a campaign to continue.

Renaming an Email Draft

How to Rename an Email Draft

1. Click on the activity you wish to rename.

2. On the Bottom bar, click Rename.

3. Edit the activity's name directly on the Bottom bar.

4. When done, click Save.

If you wish to discard the changes, click Cancel.

Editing an Email Draft

How to Edit an Email Draft

1. Open an Email draft by double-clicking on it.

2. The first step of the wizard will open up. Jump to the step you wish to make your changes in, and edit your Email.

In order to move ahead, you must complete the latest step first.

3. That's it! You can go back to your other tasks if you wish. All changes are saved automatically.

Saving an Email Draft as a Template

How to Save an Email Draft as a Template

1. Begin by creating an Email activity and choosing a blank template in the Templates step.

2. Add elements and assets to your Email. Read more about the Email Editor...

2. Test your template to make sure that everything looks perfect. Click Test on the Bottom bar and enter the sender details of the email. Note that "[Test]" will be added to the subject line.

3. When you're happy with your Email, click on Save as Template on the Bottom bar

4. Enter a name and description for your template and click Save.

Note that, if you included or excluded any segments from a row, these settings will not be saved in the template. This will only be displayed if you have included or excluded segments from a row, which is done in Row Settings.

That's it! It will appear under Your Templates next time you start the Email Editor.

The template will also be saved as a draft.

1. Click on the Email draft you wish to copy.

2. On the Bottom bar, click Clone.

3. Your Email activity will be cloned as a draft, and "(clone)" added to the name.

1. Double-click on an Email draft.

2. The Conversation Wizard will open. Click through the steps on the left to jump to a certain step, and finish any steps that you haven't yet. Read more about Creating an Email...

1. Click on the Email you wish to delete. You can also select a group of Emails to delete by clicking on one of the Emails, holding the Shift key and clicking on the last Email you want to delete.

Scheduled & Sent Tab

Scheduled & Sent Emails are those that you have scheduled, sent or paused.

Email Status

What are the different Email Statuses?

Take a look at the status labels in order to tell them apart:

Scheduled Emails are those that have been finished and have a chosen send date.

Emails will show as Paused if they have been paused by a user, despite having been scheduled before.  If the chosen send date passes, the Email will not be sent.

There's a status called Not sent, which corresponds with the case of an email not being sent to any profiles. This can be caused, for example, by a segmentation preference that is too narrow. Read more about working with segments....

Sent Emails are displayed here so that you can check their reports.

Email Overview and Preview

How to Open the Email Overview and Preview

1. Click on an Email activity.

3. The Overview step from the Conversation Wizard will open up.

This will allow you to revise the details of your activity for future reference, as well as open your email's preview.

4. To see the email's preview, click the Preview button.

Pausing an Email

How to Pause a Scheduled Email

You can pause scheduled emails both from the Email tool and the Calendar. Expand Pausing an Email from the Calendar below to read more.

 

1. Click on the Email that you would like to pause.

2. On the Bottom bar, click Pause.

Are you sure you want to pause it? Then click Continue. Otherwise, Cancel.

Your Email will be paused.

Rescheduling an Email

How to Reschedule an Email

1. Click on the paused Email you wish to schedule.

2. On the Bottom bar, click Activate.

3. If your Email's original sending time has not passed, you will need to confirm that you wish to send it then.

Click Yes to keep the original time, or Reschedule to go back to the conversation wizard and choose a new date and time. Did you choose to keep the original time? In that case, your Email status will become Scheduled. All done!

If your Email's original sending time has passed, you must choose a new date and time. Click Reschedule to reschedule your Email. If you don't want to reschedule it, then click Cancel.

3. If you chose to reschedule your Email, the conversation wizard will open and you will find yourself in the Schedule step.

4. Choose a new time and date for your Email, then click Next.

5. In the Overview step, make sure everything looks right. When you're ready, click Schedule.

Pausing an Email from the Calendar

How to Pause a Scheduled Email from the Calendar

1. Head over to the Calendar in APSIS One.

2. Locate and select the day your activity was scheduled for.

3. Click on the scheduled Email activity you wish to pause.

4. Click Pause. That's it!

 

Email Reports

How to View a Sent Email Report

1. Make sure you're in the Scheduled & Sent tab of the Email tool.

2. Locate the sent Email you wish to see the report of. Consider that reports are available directly after the Email has been sent, but actual figures take time to come in.

3. Click on the Email. The Bottom bar will show up on the bottom of the page.

4. Click Report on the Bottom bar.

5. There's the Email report! These are only available for sent Emails. Reports are updated automatically, so refresh the page to see the most recent statistics.

Editing a Scheduled Email

How to Edit a Scheduled Email

1. Click on the Email that you would like to edit.

2. To edit an Email, it must be paused.

In the Bottom bar, click Pause.

3. On the Bottom bar, click Edit.

4. The Conversation Wizard will open. Time to make your changes! Click through the steps on the left to jump to a certain step.

5. That's it! You can activate your Email again by clicking Activate in the Overview step, or from the Scheduled & Sent tab.

If you don't wish to schedule your email, go back to your other tasks. All changes are saved automatically.

Deleting an Email

How to Delete an Email

1. Click on the Email you wish to delete.

2. On the Bottom bar, click Delete.

3. Are you sure you want to delete this Email? If yes, click Delete. Otherwise, click Cancel.

If you delete a Scheduled Email, it will be paused and sent to the Deleted tab.

Templates Tab

Save Emails as Templates so that your Emails have a consistent feel and to maintain brand identity. You may create them for future use, whether you're in the middle of creating an Email or want to go straight into template making.

Assets Tab

In this tab you will find the assets you have created in the Email Editor.

What is an Asset?

An Asset is a type of user-made Email content. Essentially, it's a row in an Email saved for future campaigns. A big benefit of saving rows as assets is to save time in the Email editor by not having to create the same row repeatedly: like your standard Email footer.

Working with assets also makes it easy to maintain design and branding consistency within all your Email campaigns.

How to Create an Asset

To create an asset, you must be in the Email Editor. To enter the Email Editor, click Create a New Email and follow the steps until you reach Design.

1. Head over to the Email tool's Activity Page and open the Assets tab.

Deleted Tab

Here's where your deleted Emails, templates and assets go.

If you ever delete an Email by accident, you'll be safe--everything stays here unless you delete it from here.

  About Deleted Emails

All deleted Emails will appear on the list, labeled with the status that they were on before they were deleted, except scheduled Emails. Deleting a scheduled Email will also pause it. If restored, it will return to the Scheduled & Sent tab as paused.

Restoring an Email

How to Restore an Email

1. Click on the Email, or a group of Emails by clicking on one of the Emails, holding the Shift key and clicking on the last Email you want to restore.

2. On the Bottom bar, click Restore. The Email or template will go back to the tab it was in before it was deleted; if it had been on a scheduled status, it will be restored as paused.

Deleting an Email Permanently

How to Permanently Delete an Email

Only Emails that have been sent to the Deleted tab can be deleted permanently. This action cannot be undone.

1. Click on the Email you wish to delete, or a group of Emails by clicking on one of the Emails, holding the Shift key and clicking on the last Email you want to delete.

2. Click Delete in the Bottom bar.

3. Are you sure? This cannot be undone. If yes, click Delete. Otherwise, click Cancel.

The Bottom bar

Clicking on an activity will bring up the Bottom bar.

There you will see activity options like edit, delete, restore, etc. These will also depend on the tab you're in. It also shows up, permanently, in the Email editor.
